Academy Administration Executive

About the Role
 

As our Academy Administration Executive, you’ll work closely with the Head of Academy to ensure the efficient delivery of administrative processes across student services, trainer coordination, course scheduling, financial administration, and general operations. This is a varied and rewarding role that requires a proactive mindset, attention to detail, and excellent communication skills.

You’ll be the go-to person for students and trainers alike, helping to maintain our high standards and contributing to a supportive, professional learning environment.

Key Responsibilities

 

Administrative Support

  • Assist the Head of Academy with daily administrative duties

  • Maintain accurate records of students, trainers, and course schedules

  • Prepare internal reports, spreadsheets, and documentation

 

Student Support

  • Be the first point of contact for student queries

  • Manage student registration and onboarding

  • Issue certificates and maintain qualification records

  • Gather and report on student feedback

 

Trainer Coordination

  • Support the recruitment and onboarding of trainers

  • Maintain trainer schedules and session availability

  • Coordinate classroom allocation and reminders

  • Ensure sessions are fully resourced

 

Course and Timetable Management

  • Develop and maintain the master timetable

  • Address last-minute schedule changes or cancellations

  • Liaise with facilities and IT staff for classroom readiness

 

Client Liaison and Financial Administration

  • Communicate course details to clients and provide logistical support

  • Issue invoices and follow up on pending payments

  • Assist in preparing reports on revenue and course attendance

 

Funding and Compliance

  • Support documentation for funding applications and compliance

  • Ensure processes align with internal policies and external regulations

 

Other Duties

  • Prepare course materials for trainers and students

  • Assist with audits, inspections, and quality reviews

  • Help organise internal events, meetings, and graduation ceremonies

  • Carry out other tasks as assigned by the Head of Academy

 

What We’re Looking For:

Essential:

  • Minimum 2 years’ experience in an administrative or coordination role (ideally in education or training)

  • Confident using IT systems and social media

  • Strong organisational and prioritisation skills

  • Excellent interpersonal and written communication

  • Proficiency in Microsoft Office (Word & Excel in particular)

  • Able to work independently and as part of a team

  • High attention to detail and accuracy

  • Fluent in English

 

Desirable:

  • Experience using a student or learning management system

  • Familiarity with funding application processes

  • Fluency in other languages
